I receive a lot of inquiries about Zoho’s product line. In a previous post I outlined Bigin, the entry level Zoho product. In this post I’d like to give a quick comparison of the Zoho’s full-scale CRM products.
Whether you’re ready to simply replace your existing maze of spreadsheets and scattered notes, or want a full-scale CRM that can run literally every aspect of your business, Zoho has a product for you.
Zoho CRM comes in four flavors; there are literally hundreds of features but here’s a simple comparison of the basic Zoho features by version:

I am a former act user and looking to move my current MS outlook database into a more useful tool with mobile usability being one of the primary functional choices. Any suggestions?
I’d like to discuss working with your company to consult on optimizing our existing Zoho implementation as well as a future potential ACT data migration into Zoho.
I think you are a perfect candidate for one of the Zoho products. They have great, free, mobile apps and all your data would easily import from Outlook. As far as functionality there are numerous versions ranging from free to “all bells and whistles” at $444/year. If you want to move back to Act! they have the cloud ($360/year) and the Desktop ($450/year) versions but I’m going to assume there’s a reason you left Act! in the first place, and why you aren’t happy with Outlook. If you can share that information I’ll be in a better spot to advise you.

I am a single user. I’m going outside of my organization for my prospecting and going to do it on my own. I need a total of 6 customized fields: 1) Liability Insurance Carrier, 2) Liability Insurance Expiration Date, 3) Worker’s Compensation Insurance Carrier, 4) Worker’s Compensation Insurance Date, 5) Group Medical Insurance Carrier, 6) Group Medical Insurance Date. The main thing I am looking to do is to manage my Top 200 prospects for email drip campaigns for multiple emails within the targeted prospect.
What is the best Zoho version for me?

Based on your situation I’d recommend one of two options:
• Zoho Standard ($168/year or $20/month). It will allow you to add 10 custom fields and 250 templated emails/day. The emarketing is easy but fairly basic; you will get all the reports you’d typically need. If you end up needing more bells and whistles you can always move up to Zoho Professional or Zoho One without fear of losing any of your data.
• Zoho One ($444/year or $45/month). This gives you the Enterprise (highest) level of Zoho CRM plus 50+ other apps for everything from a docusign clone to remote meeting software. This comes with Campaigns which allows you to send up to 100,000 emails/month via true campaigns (ie, if it’s opened do this, if not do that, etc).
I have a small Act database and my needs are simple. I need my Notes and Histories brought over from Act and I have a few customized fields. Should I move from Act to Bigin or Zoho?
Based on your comments I think you are best suited for the Standard edition of Zoho CRM ($168/year or $20/month). Here’s a link to the trial. When you first log in remember to click the “add sample data” link; it’s easier to try out Zoho with a little data in there. It’s super easy to remove all of the sample data later when you are ready to start adding your own data.
Bigin will not allow you to import your histories plus Bigin limits the amount of data it can contain. It’s better suited for those with smaller Act databases (1-3K or contacts, mostly with 1 or 2 Notes at most).
