Importing and Exporting: It’s So Much Easier in Zoho CRM Than in Act! CRM

act vs zohoData is the lifeblood of any CRM system. Whether you’re switching platforms, updating contact info, or simply backing up your data, the ability to easily import and export records is critical. If you’ve ever tried performing these tasks in Act! CRM, you already know it can feel like solving a Rubik’s cube blindfolded. Fortunately, Zoho CRM offers a breath of fresh air.

Here’s a breakdown of why Zoho CRM outshines Act! CRM when it comes to importing and exporting your data:

1. Modern, Intuitive Interface

Zoho CRM’s import and export tools are clearly labeled, easy to find, and follow a step-by-step wizard format. Act! CRM, especially in its older desktop versions, often requires you to navigate legacy menus and dialogs that haven’t aged gracefully.

Zoho Advantage: Upload a CSV, match columns, and click import—done.
Act! Pain Point: Prepare to dig into confusing import wizards which aren’t always user-friendly.

2. Bulk Importing That Works

Zoho CRM supports large-scale imports with ease, handling thousands of records per module at once—including leads, contacts, accounts, custom modules, and more.

Act! CRM, on the other hand, often limits the volume of records that can be imported without errors or slowdowns. Users frequently report crashes or corrupted data when working with larger datasets. In addition, you can only import to one Module at a time.

Zoho Advantage: Bulk upload thousands of records with built-in error handling and rollback options.
Act! Pain Point: Keep that IT person on speed dial.

3. Built-In Deduplication Tools

Importing data often leads to duplicates—but Zoho CRM gives you the tools to manage that gracefully. During the import process, Zoho allows you to choose how to handle duplicates: skip, overwrite, or update based on a field like email or phone number.

Act! CRM has more limited deduplication options during import, and handling duplicates often means cleaning the data manually before import—or cleaning up the mess afterward.

Zoho Advantage: Smart deduplication with merge rules built-in.
Act! Pain Point: “Why do I have five versions of the same contact?”

4. What Happens When Something Goes Wrong?

Need to tweak your Zoho import? Simply undo it and try again!

Act! CRM, on the other hand, has no way to “undo” a bad import other than deleting all the records manually or restoring a backup.

Zoho Advantage: You can be ready to try another import in a matter of minutes.
Act! Pain Point: Allow for a lot of extra time when doing an advanced Act import. Hope you remembered to back up your database first!

5. Flexible Export Options

Exporting in Zoho CRM is just as simple. You can quickly export all or filtered records to a CSV or XLSX format—right from the module view. No fuss. No drama.

Exporting from Act! CRM can be more complex. Some versions only support basic export functionality, and often require you to use a third-party tool (or custom scripting) to extract full records, especially if you’re dealing with custom fields or notes.

Zoho Advantage: Filter, select, export.
Act! Pain Point: Make sure that your Excel version is compatible with your Act version.

6. API and Automation-Friendly

Zoho CRM includes powerful APIs and automation features that allow you to set up recurring imports/exports. You can even schedule them or connect to Google Sheets, Zoho Analytics, or other tools for seamless data flow.

Act! CRM does offer API access—but it’s more limited, and automation is often an add-on or an extra setup using Act! Cloud or third-party apps.

Zoho Advantage: Automate imports and exports without needing a developer.
Act! Pain Point: Hire someone—or become someone—who speaks “VBScript.”

7. Migration Made Easy

If you’re making the switch from Act! to Zoho CRM, there’s more good news. Zoho offers built-in migration tools and services (including support from certified partners like us!) to help move your data cleanly, completely, and correctly.

Zoho Advantage: Migrate from Act! CRM in a few hours—yes, hours.
Act! Pain Point: Set aside several days. Remember, there is no “undo” button – good luck!

Final Thoughts

If you’ve outgrown the clunky import/export experience in Act! CRM, you’re not alone. Zoho CRM was built with the modern business in mind—and that includes making your data portable, clean, and easy to work with.

LOL, yes, I have also seen some of Bruce’s posts on LinkedIn. You’re right: Act does not have either “tags” or “automations.”

We have a term in software: “Eat your own dog food” which means to really understand a product you have to use it day in and day out. I fear that most of the folks at Act don’t use it; I think they actually rely on Salesforce for their CRM which speaks volumes.

A lot of people are starting to rely on ChatGPT for their posts; although it can be a great tool I often find inaccuracy in its data. I suspect that Bruce was relying on either a marketing company or ChatGPT to create his posts.

    Hi Karen,

I recently read a post by Act’s CEO, Bruce Reading, on LinkedIn in which he talks about cleaning up your Act database using “tags” and “automations.” I can’t find those features. Can you help?
