How to Export Your Data from ACT! CRM

act exportIf you’re ready to move on from ACT! CRM, you may be wondering how to export your data. The truth is, getting your information out of ACT isn’t as simple as hitting “export.” Here are two important facts you need to know:

1. ACT! is a Relational Database
Your contacts, companies, activities, and opportunities are stored in separate tables. That means you can’t just create one clean spreadsheet of all your data. Instead, you’ll end up with multiple files that need to be reconnected in your new CRM.

2. Notes Don’t Export Without Tools
ACT! doesn’t provide a way to export your notes by default. Without additional tools or expertise, you risk losing one of the most valuable parts of your history.

Make the Move From Act Without Losing Data
Exporting ACT! data is tricky, but it’s possible with the right help. I’ve successfully migrated nearly 400 ACT! databases into modern CRMs like Zoho Bigin, Zoho CRM, Salesforce, and HubSpot.

    Hi Teresa,

Yes, we can export your Act database into a series of .csv (Excel) format which can then be imported into most CRM software solutions including Salesforce, Hubspot & Zoho. If you haven’t already you should take a look at Zoho One (here’s a link to a Zoho One trial: https://store.zoho.com/ResellerCustomerSignUp.do?id=4bf9b5b0fa1f292e0f510e0e0b8ebfcd). Zoho One includes all of the functionality you’ll find in Salesforce and Hubspot with the exception of a big price tag!

    Hi Michael,

Act does not make it easy for you to leave their cloud version. If you just need your contacts (no notes, etc) you can add all of your fields to the Contact List and do an export. But if you want ALL of your data, things get a bit trickier. First of all, you’ll have to reach out to Act support to get a backup of your data. That will give you a “zip” file. If you are an SQL guru you can extract your data out of the backup but you might find the results a bit confusing. Or you can hire someone like me who does the extraction and provides you with .csv spreadsheets as well as analytical reports. If you are moving to Zoho or Salesforce I can provide export files tailored to those products.

    Hope this helps!

I have Act! on the web. How do I export my data? NOT Act! on the PC with a database.
