Act to Zoho Conversions: More Questions from Act Users Wanting to Convert to Zoho

zoho consultantI’ve been doing a lot of Act to Zoho conversions lately. I have written several previous articles on what to expect when you convert your data and where to start. Here are a few great questions I received from one of my Act to Zoho conversion clients recently along with my answers in RED:

  1. After the migration, will we still have access to Act – desktop and/or cloud?  No, not if you don’t renew your subscription. However, most of my clients keep I license for a while so they can double check back to Act! if they have a question.
  2. Does Zoho integrate with Microsoft Office such as link to email and word documents? Zoho includes “writer” which a better option for templates. Do you print out documents or do you mean email templates?
  3. Please confirm fields can be customized and added.  Yes, as well as additional modules (custom tables in Act!) at no extra charge.
  4. Can some records be ‘private’ as view only to me?  Out of the box Zoho doesn’t have private contacts. For me this is a good thing as users often created private contacts in Act! that no one could see including the owner of the company. In Zoho you could create a “hierarchy” of contacts or do custom programming to create privacy. A lot of my clients also use Bigin (free with Zoho One) to house their personal contacts that aren’t business related.
  5. We use Act Groups (types of clients); does Zoho offer similar feature.  Zoho doesn’t have “Groups”. If you were using “Dynamic” groups they have a feature I like better called “Views.” They not only include a filter but you can set which fields/columns you want to include and in which order. If you were using Static groups I bring over all the Group names as a field so you can continue to find them. Going forward you can use Tags but in my opinion Dynamic Groups are the only way to go.
  6. What does training look like for my team?  Is that something your company provides? I can provide private training. There are also a ton of videos and articles available.
  7. I am very interested in Tasks.  Can a task be created and then assigned to another  user? Tasks would be the equivalent to Act!’s “To Do’s” but are a bit more sophisticated. Yes, they can be assigned to another user.  They also allow you to “partially” complete them if you are looking for an exact status on a more complex task. You can also add fields to the Task structure if you need more classification for your tasks.act perpetual license
  8. What are ‘Sticky Notes?’ Sticky notes in Zoho CRM are a great way to quickly jot down details about a call, a task or any other information that needs to be easily accessible. These are personal notes and not visible to other users in your CRM account. Sticky notes are available in all Editions of Zoho CRM.
  9. When I click ‘send email’ is that linked to outlook?  Yes  Can we  create shared templates? Yes
  10. Can you customize the List Views? Yes, You can add and rearrange the fields of any of Zoho’s List Views. You can also save your List View with a query as a custom View.
  11. Can you export your data? Yes, to Excel or Zoho Sheets. You’ll also receive all of your Zoho data in spreadsheet form when you make a backup.
  12. Is a custom layout available? Absolutely. There are multiple ways to create custom layouts.
  13. Can you use the Account Feature to update the associated Contact fields so that you don’t have to manually update all the individual Contact records when an Account changes its address? Yes, you can map your Account fields to your contact fields.

    Hi Frank,

    Yours is a hard question to answer. Zoho is 100% cloud-based. The advantage there is that you don’t have to spend any time struggling with technology. I recently installed Act! v27 and it took me an hour as it required numerous reboots and a special way to run the install files.

    You have 3 reasons which will make an upgrade hard:
    1. You’ve used Act! for over 20 years
    2. You have customized your database
    3. You use customized reports and an addon product

    My best advice to you is to stay where you are. Don’t upgrade your computer. Don’t upgrade your operating system. Don’t change a thing! And whatever you do don’t move to Act! cloud. Your addon product won’t work and you’ll probably have trouble running your reports.

    Just remember that should Act! cease operations I am always here to pick up the pieces.

    Karen, I’m interested. My 2 main concerns are cost (of course) and primarily the fact that I designed my own custom database in ACT!. I also use the calc add-on in that database. I use act as a local install, not cloud. I do absolutely no marketing nor use any of the other act stuff. Just my own database for data entry and reports I designed in act. Can you provide more details? I have been with act some 20-25 years.

    Hi Glen,

    I’m sorry your experience moving to Zoho from Act was not a good one. We have converted nearly 400 Act Databases to Zoho with great success. I am not sure why it took months to accomplish; we do our conversions over a weekend. That said, we do supply you with a list of both your custom fields and your various history types & usage. I view an Act to Zoho conversion as a great time to do a bit of Spring Cleaning; why convert over things you never use like a custom field that was used only 2 times or histories of contacts you deleted in 1995.

    As far as the upgrade is concerned it is 100% reversible if you don’t like it. You just need to click your profile icon and revert back to the older style.

    I always manage the expectations of my clients. I would have told you that recurring activities DO NOT convert because the recurring structure in Act and Zoho are completely different. I also often find that Act users have really old outstanding recurring activities which will cause havoc if someone just tries to convert them.

    As for your costs with Tech Benders we supply a full written quote prior to doing a conversion. No one likes surprises!

    We had a act! to ZOHO conversion through our local cunsultant starting in January. I was told it would take a weekend, and that recurring activities would be transfered into ZOHO. After issues with the data transfer I was required to go into ACT! and clean up the database, also the mettings/to do’s or calls needed to be checked off. This took months. Overall it did not go that well, and lost a lot of data. All of the recurring activities had to be re-entered and I am still in the process of entering them into the calendar. We are using the program now but they did an upgrade and stuff is changed so dealing with that. We purchased a zoho 1 subscription for a year in January for 2 users. If we want to hire another ZOHO consultant what would be your cost?
