Comparing Email Options in Zoho CRM (and Why It’s Way Easier Than ACT + Outlook)

One of the things Zoho CRM does well is giving you multiple ways to send email, depending on how you like to work.

If you’re coming from ACT CRM, especially if you used Outlook integration, this will feel refreshingly familiar—but far less painful. In fact, dealing with Outlook + ACT was easily my number one tech support issue over the years. Sync problems, missing history, “why didn’t this email log?”—you name it.

Let’s break down the different email methods in Zoho CRM and when each one makes sense.

1. Clicking an Email Address in Zoho CRM: Using Your Windows Default Email App

The simplest option in Zoho CRM is also the most familiar.

When you click someone’s email address inside a Zoho record, Zoho hands things off to your Windows default email application.

What happens next:

  • Zoho opens your system’s default email program

  • The email address is pre-filled

  • You send the email just like you normally would

Important detail:

  • If Outlook is your default email app, the email will open in Outlook

  • If you use multiple email addresses in Outlook, your email will send through your default email address

This behavior is controlled by Windows, not Zoho. Zoho is simply respecting your system settings.

Best for: Users who live in their email client and just want a quick way to start a message.

2. Sending Through Outlook (and Logging History in Zoho)

If you’re using Outlook and want those emails to appear inside Zoho CRM, there’s one extra step you must do.

Follow these steps to record Outlook emails in Zoho:

Setup > Channels > Email > Email Configuration > Email

Once configured correctly Emails sent and received through Outlook will appear in the Email tab of the Zoho record. This is where Zoho improves on the ACT experience. With ACT, Outlook integration was fragile—updates, patches, and profile changes constantly broke email logging. In Zoho, once this is set up, it just works; no “updates” will breaks your Zoho Outlook connection.

Best for: Teams heavily invested in Outlook who want CRM visibility without changing how they send email.

3. Using the “Send Email” Button Inside Zoho CRM

Zoho also allows you to send email directly from the CRM using the Send Email button on a record. This method does not use Outlook.

Why this matters:

  • Emails are sent from Zoho

  • Email history automatically appears on the Email tab

  • You gain access to email templates and tracking features

This is the method you’ll want to use if you rely on templates or want deeper insight into how emails perform.

4. Using Email Templates (The Power Option)

Templates unlock some of the biggest advantages of sending email directly from Zoho CRM.

With templates, you get:

  • Read tracking

  • Bounce tracking

  • Opt-out management

  • Consistent messaging across your team

  • Automatic logging on the Email tab

Templates are ideal for:

  • Sales follow-ups

  • Onboarding emails

  • Support responses

  • Marketing-adjacent communications

One Important Zoho Setup Step: Email Deliverability

Before using templates, you’ll need to authenticate your email domain so messages are delivered properly and don’t land in spam.

Setup path: Setup > Channels > Email > Email Deliverability > Email Authentication

This step improves:

  • Email trust

  • Deliverability rates

  • Reporting accuracy

Once this is configured, templates become one of the most powerful communication tools in Zoho CRM.

Choosing the Right Email Method with Zoho CRM

Here’s a quick way to think about it:

  • Quick, one-off email?
    Click the email address → use your default email app

  • Love Outlook and want CRM history?
    Configure Outlook email logging in Zoho

  • Need tracking, consistency, or automation?
    Use Zoho’s Send Email button with templates

Final Thoughts

Zoho CRM gives you flexibility without chaos. You can work the way you’re comfortable while still capturing the data your CRM needs.
